How to stop losing leads from missed calls

Every missed call is a customer deciding whether to try you again or call the next business on the list. Here is a simple system to catch them.

If you run a service business, you miss calls. You are on a roof, under a sink, with a client, or driving. That is normal. The problem is what happens next: many callers will not leave a voicemail, and some will simply call someone else.

1. Text back automatically, within seconds

The single most useful fix is a missed-call text-back. When a call goes unanswered, the caller gets a short text from your business number right away, for example:

"Sorry we missed your call! This is [Business]. How can we help? You can also book here: [link]"

A text feels personal, the customer can reply when it suits them, and you get the conversation in writing.

2. Give them a way to book without you

Include a booking link in that text. If they can pick a time themselves, you have turned a missed call into an appointment without picking up the phone.

3. Reply fast when you are free

Keep all texts in one inbox so you can see who is waiting. Reply as soon as you are between jobs. Speed matters more than a perfect message.

4. Follow up if they go quiet

Some people read the text and forget. A gentle follow-up a day or two later ("Still need help with that leak?") brings many of them back. After that, space follow-ups out over a few weeks, then stop.

5. Make your voicemail work for you

Keep your greeting short and tell callers they will get a text right away. That sets expectations and makes the text feel expected, not random.

A note on texting rules

In the US, business texting from a local number requires a one-time registration with the phone carriers (often called 10DLC or A2P registration). Texts from unregistered numbers may be blocked or filtered. See Texting registration explained in plain English.
